Part-Time Bookkeeper/Accountant

Fountainhead Hospitality is seeking a highly organized and detail-oriented Part-Time Bookkeeper/Accountant to oversee accounting functions across three unique properties: The Green Post, Piccadilly Market, and The Northman Beer & Cider Garden. This position plays a critical role in supporting the financial health of each location and ensuring the accuracy and timeliness of reporting.
The ideal candidate brings strong experience with systems like QuickBooks Online, Fintech, Toast, and XtraChef (or similar online bill pay and inventory software) and is proactive in implementing efficient financial processes. You’ll collaborate closely with ownership and the Director of Operations to deliver meaningful financial insights, reconcile vendor accounts, and manage various administrative accounting tasks.

This position is a part-time, hybrid role requiring a minimum of 2 days on-site per week.

Key Responsibilities

  •  Prepare and analyze monthly and quarterly P&L reports for each location
  •  Generate and review monthly partner remittance reports for Piccadilly Market
  •  Provide monthly and quarterly COGS and labor reports for all locations
  •  Support the setup and optimization of XtraChef, including bill pay workflows and cost tracking
  •  Assist with new vendor setup, ensuring accuracy in food & beverage vendor onboarding
  •  Coordinate and implement Expensify for credit card reconciliation and reimbursements
  •  Oversee credit card expense tracking, coding, and documentation
  •  Maintain and reconcile accounts in QuickBooks Online, ensuring all entries are accurate and timely
  •  Monitor compliance with liquor vendor payments via Fintech
  •  Provide ad hoc financial reports and support as needed by Ownership or Operations
  •  Collaborate with General Managers and department leads to ensure timely submission of invoices and receipts
  •  Assist with year-end tax prep and 1099 generation in collaboration with outside CPA firm

Preferred Qualifications
  •  2+ years of bookkeeping/accounting experience, preferably in the hospitality or restaurant industry 
  •  Proficiency in QuickBooks Online
  •  Experience with Toast POS and XtraChef a strong plus
  •  Familiarity with Expensify and Fintech preferred
  •  Strong Excel/Google Sheets skills and a high degree of numerical accuracy
  •  Excellent communication and organizational skills
  •  Ability to work independently, meet deadlines, and manage multiple priorities
  •  Comfortable working in a fast-paced, dynamic environment with multiple stakeholders

Schedule & Compensation
  •  Part-Time: Estimated 15–20 hours per week, more for training
  •  On-site Requirement: Minimum 2 days/week on-site
  •  Compensation: Commensurate with experience
